Privacy policy

OOT Removals ("we", "us") is the data controller for personal data collected through ootremovals.co.uk. This policy explains how we handle it under the UK GDPR and the Data Protection Act 2018.

What we collect

When you send a quote brief through this site, we collect:

• Your name
• Your phone number
• Your email address
• The pickup address and the drop-off address for the move
• A moving date, if you choose to give one
• Any notes you add about the move

If you email or call us instead, we hold whatever you choose to tell us in that message, plus the contact details it arrives with.

Why we hold it

• To answer your enquiry and prepare a quote. Lawful basis: steps taken at your request before entering into a contract.
• To carry out a move you have booked. Lawful basis: performance of a contract.
• To keep records we are required to keep, including accounting and insurance records. Lawful basis: legal obligation and legitimate interests.
• To prepare customs documentation where your move crosses a border, which means sharing the relevant details with customs authorities and clearing agents. Lawful basis: performance of a contract and legal obligation.

We do not sell your data, we do not share it with unrelated third parties, and we do not add you to a marketing list because you asked for a quote.

Who processes it for us

• Our website and form hosting provider, which processes form submissions in transit.
• Our email provider.
• Google reCAPTCHA, which checks that form submissions are not automated. Google's own privacy policy applies to that check.
• Google Analytics, where enabled, for aggregate site usage.
• Clearing agents and customs authorities, for international moves only, and only the details the declaration requires.

Cookies and analytics

This site sets no advertising cookies and runs no cross-site tracking. Where Google Analytics is enabled it is loaded after the page has finished rendering and is used to understand which pages are useful. reCAPTCHA loads only when you begin interacting with the quote form. You can block both in your browser without affecting your ability to contact us.

How long we keep it

Enquiries that do not become bookings are deleted once they are clearly no longer active. Records relating to completed moves are kept for as long as accounting, insurance and tax obligations require, and then deleted. Customs documentation is kept for the period the relevant authority requires.

Security

The site is served over HTTPS and form submissions are encrypted in transit. Access to enquiry and job data is limited to the people who need it to do the work.

Your rights

Under UK data protection law you can ask us to:

• Give you a copy of the personal data we hold about you
• Correct anything that is wrong
• Delete it, where we are not required to keep it
• Restrict or object to how we use it
• Transfer it to another provider in a portable format

Email hello@ootremovals.co.uk and we will deal with it within the statutory period. If you are not satisfied with how we have handled a request you can complain to the Information Commissioner's Office at ico.org.uk.

Children

This site is not directed at children and we do not knowingly collect data from anyone under 16.

Changes

If this policy changes, the updated version appears on this page. Material changes affecting existing customers will be notified directly.
